Job Description

We are seeking a highly skilled and detail-oriented Contract and Financial Operations Specialist to join our team. The ideal candidate will have strong English reading and comprehension skills to handle complex commercial contracts and work closely with our client's software vendor to optimize their contract management system. The candidate will work and communicate closely with the client. Additionally, the candidate will play a crucial role in designing and testing reporting functionalities for various financial use cases and serve as a backup for key financial workflows.

 

Responsibilities

Contract Management Process:

  • Contract Analysis: Read and extract key information from commercial contracts for entry into the contract management system. This requires strong English reading skills to navigate complex legal language.
  • System Development: Collaborate with the software vendor and internal team to build and test software capabilities for the contract management process. This involves identifying and communicating issues and providing creative solutions to meet team needs.

Reporting Buildout:

  • Reporting Design: Work with the software vendor and internal team to design and iterate on reporting for budgeting, contracting, and spend analysis.
  • Issue Identification: Test reporting functionalities and communicate any issues or improvements to the software vendor and internal team.

Mainstay Workflow Backup:

  • Expense Management: Review credit card memos and use judgment to apply correct accounting and budget categories.
  • Accounts Payable: Review invoice details, categorize them appropriately, and follow up with vendors for bank/tax information as needed.
  • Cash Recording: Accurately classify cash transactions with attention to detail.

Requirements

  • Strong proficiency in English reading and comprehension, particularly in navigating complex legal language.
  • Excellent communication skills, both written and verbal, to effectively collaborate with team members and vendors.
  • Strong problem-solving abilities and creative thinking to design effective processes and solutions.
  • Detail-oriented with a high level of accuracy in financial transactions and reporting.
  • Experience with contract management systems and financial reporting tools is a plus.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Must be willing to work US business hours (details will be provided and may still change).
