As a Junior Finance Analyst at Prompt, you will play a crucial role in supporting our finance department by managing various financial and administrative tasks. You will work closely with the Senior Finance Manager to ensure the smooth operation of our internal financial processes, contributing to the overall success and efficiency of the company.

Key Responsibilities:
1. Invoicing:
Prepare and issue accurate invoices to customers in a timely manner.
Verify invoice details and ensure compliance with company policies and customer agreements.
Monitor and follow up on outstanding invoices to ensure prompt payment.
2. Accounts Receivable:
Manage accounts receivable processes, including recording and reconciling incoming payments.
Monitor accounts to identify overdue balances and initiate collection efforts.
Maintain accurate and up-to-date records of all accounts receivable transactions.
3. New Customer Set Up:
Support the onboarding process for new customers by validating proper information collected on customer agreements.
Set up new customer accounts in the accounting software, ensuring accuracy and completeness.
Communicate with customers to address any questions or concerns during the setup process.
4. Customer Support:
Provide exceptional customer support by addressing inquiries related to invoices, payments, and account balances.
Collaborate with other departments to resolve customer issues and ensure satisfaction.
Maintain a positive and professional relationship with customers at all times.
5. Data Management:
Ensure the accuracy and integrity of financial data by performing regular data entry and updates to our accounting software.
Help maintain the company’s financial transactions and customer information.
Generate reports and analyze data to support financial decision-making.
6. Bookkeeping:
Assist with general bookkeeping tasks, including recording daily transactions, reconciling accounts, and maintaining financial records.
Support month-end and year-end closing processes by preparing necessary documentation and reports.
Ensure compliance with accounting principles and company policies.
7. Assisting the Senior Finance Manager:
Provide administrative support to the Senior Finance Manager in various financial tasks and projects.
Assist in the preparation of financial statements, budgets, and forecasts by providing requested information.
Participate in internal audits and contribute to process improvements within the finance department.
Qualifications:
Bachelor's degree in Accounting, Finance, Business, Economics, Mathematics, or a related field
1+ year of internship experience in the finance field
Basic understanding of G.A.A.P., financial statements, accounts receivable and invoicing
Working understanding of QuickBooks
Proficiency in Microsoft Excel and Google Suite
Strong analytical, quantitative, attention to detail and organizational skills
Developed communication and interpersonal skills, with the ability to build rapport and collaborate effectively with stakeholders at all levels including CFO
Ability to thrive in a fast-paced, results-oriented environment and adapt to changing priorities and deadlines
Preferred Qualifications:
2+ years of experience with Quickbooks or a similar accounting software
Proficiency with bookkeeping tasks such as journal entries, reconciliations, chargebacks, financial statement preparation, etc.
