Description:
We are looking for an Administrative Coordinator for the daily tasks of project management, from the needs assessment stage, through layout design, bidding, and follow-up of the construction stage with landlords, investors, and the client’s own contractors. 



Key Responsibilities
  • Conducts technical meetings with the construction company's teams, consultants, and Client teams, where the progress of works, technical design adjustments, etc. are updated
  • Organize the process of scope with internal and external stakeholders
  • Assist in the client’s internal purchasing department for the bidding process and contributes knowledge to the selection of suppliers and contractors
  • Close liaison with Client’s maintenance, health and safety, operations, and human resources departments
  • Organizes the materialization of project changes or adjustments at the Client’s request. As well as the management of documentation, budgets, and time coordination to avoid affecting the work schedule.  Analyze substitutions of materials and/or constructive forms that the works may require and recommend their acceptance or rejection
  • Responds to queries and clarifications requested by Clients, contractors, and suppliers; about the execution of the works and/or technical specifications of the project
  • Identifies and communicates immediately to the Client, any deviations from deadlines, proposes recovery measures, and supervises compliance with the latter
  • Coordinates pre-and final inspections for the delivery of assigned works
  • Additional duties as assigned



Preferred Qualifications/ Relevant Experience
  • Previous experience in project coordination or administrative roles within the construction industry is required.
  • Familiarity with construction contracts, specifications, and project documentation
  • Able to form and build good client relationships and work well in a team setting 
  • Ability to fulfill assigned commitments in a timely manner within established budgets while achieving quality results that prioritize and resolve conflict when necessary
  • Team player with the ability to clearly communicate verbally and in writing
  • Organized and detail-oriented
