Job Description
Work Arrangement: Fully remote, overlapping EST working hours.
Job Type: Full-time, Independent Contractor
Salary Range: Starting from $1,500 per month, with potential for higher compensation based on performance and experience.
Work Schedule: 40 hours per week, Monday to Friday, 8:00 am – 5:00 pm EST.
Locations: Remote, open to open to candidates in the Philippines and Latin America
Holiday Adherence: Local Federal Holidays
PTO Entitlement: 10 days per year

About the Company:
The client is a leading financial and investment advisory firm based in Toronto, providing tailored financial strategies and advisory services to help clients achieve their financial goals. We partner with high-net-worth individuals, family offices, and mid-market investment firms to deliver personalized investment solutions and financial services.
Role Overview:
As a Project Manager / Executive Admin, you’ll play a pivotal role in supporting our executives and driving project initiatives to ensure streamlined operations. This role is ideal for someone passionate about making a measurable impact in the financial and investment advisory space. Your contributions will be critical to the efficiency and success of the firm’s day-to-day functions.
Your Impact:
Your efforts will directly contribute to enhancing the operational efficiency of our team, maintaining crucial administrative functions, and supporting high-stakes projects that help our clients achieve their financial goals. You will be a vital partner to the leadership team, ensuring successful project delivery and strategic alignment.
Key Responsibilities:
- Administrative Support
- Manage corporate expenses and invoicing.
- Maintain and update the company’s CRM and database systems (HubSpot).
- Organize and manage digital files and records in OneNote.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Manage and maintain executive calendars, schedule meetings, and coordinate appointments.
- Project Management
- Track project progress and provide regular updates to the team.
- Coordinate and follow up on action items from meetings.
- Lead progressively larger components of projects over time.
- Research and Analysis
- Conduct market and client research.
- Prepare reports and presentations on market trends and investment prospects.
- Build financial models for client and prospect engagements.
- Support with the writing and development of government incentive applications.
- Manage and update the government incentives database, including program requirements and timelines.
Requirements
Must-Have:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong written and verbal communication abilities.
- Excellent organizational and time-management skills.
- Familiarity with CRM software (HubSpot preferred).
- Proven track record of successfully managing complex projects.
- Attention to detail.
Nice-to-Have:
- Experience in financial services or investment advisory.
- Familiarity with project management tools.
- Background in management consulting.
- Understanding of business and the manufacturing sector.
- Ability to read and interpret financial statements.
